A well-prepared job starts before the crew reaches the property. A short office-to-field check can make missing information visible while someone is still available to help.
1. Confirm the assignment.
Check the job reference, property location, assigned crew, and planned visit. If the assignment changed recently, make sure everyone is looking at the same version.
2. Put the instructions in one place.
Write down what the crew needs to know about this visit. Include the relevant contact and any access arrangements already confirmed with the customer. Keep these notes with the job instead of leaving them in a separate text conversation.
3. Review the job packet.
Check that the documents, prior visit notes, and point information intended for the crew are attached to the correct job. Make changes before the crew downloads its offline copy.
4. Prepare for limited service.
Download the assigned job while connected. Open the saved information on the phone and confirm the items needed for the visit are available. Offline access depends on what has actually been saved.
5. Agree on the return handoff.
Decide where the crew will record progress, unresolved questions, and anything needed for the next visit. When the team returns to service, check the app’s pending uploads instead of assuming everything has already reached the office.
The useful part of this routine is consistency. It gives the office and crew the same starting point and a clear place to leave the next update.
